SOCS co-curricular clubs and activities are imported through the Schoolbox Fixtures module.

Once imported, users can view:

  • Clubs and activities
  • Scheduled events
  • Locations
  • Registered pupils
  • Assigned staff

Co-curricular information is managed in SOCS and synchronised to Schoolbox.

View Co-Curricular Activities in the Calendar

Co-curricular activities can be displayed in the Schoolbox Calendar using the Fixtures calendar source.

  1. Open the Schoolbox Calendar.
  2. Enable the Fixtures calendar source.
  3. Use calendar filters to display the required activities.
  4. Select an activity to view its time, location, and details.

Imported activities are read-only and reflect information imported from SOCS.

Registered pupils and assigned staff can view activities associated with their imported club.

Add Co-Curricular Activities to Dashboards

Schoolbox dashboard components can display upcoming co-curricular activities for users.

Use the My Fixtures component to display upcoming activities for:

  • Registered pupils
  • Assigned staff
  • Parents viewing activities for their linked children

The component only appears when the user has upcoming activities to display.

Display Co-Curricular Activities on Pages

Co-curricular activities can be displayed on homepage and group pages using the Team Fixtures component.

  1. Edit the page.
  2. Add the Team Fixtures component.
  3. Select the imported co-curricular team.
  4. Configure whether to display past or upcoming activities.
  5. Save the page.

Users who can view the page can see the activities displayed by the component.

Multiple Team Fixtures components can be added to the same page.

Understand Synchronisation

Schoolbox automatically checks SOCS for co-curricular updates every four hours. A short delay may occur before an import begins.

  • New activities are added during the next successful synchronisation.
  • Changes made in SOCS update matching Schoolbox records.
  • After a fully successful import, activities no longer present in the SOCS feed are removed from Schoolbox.
  • Registered pupil and assigned staff memberships are updated from SOCS.
  • If an individual record fails, Schoolbox continues importing the remaining records and preserves previously valid records.

There is no manual synchronisation option in the SOCS settings.

Important Behaviour

SOCS is the source of truth for imported co-curricular information.

  • Changes should be made in SOCS.
  • Updates made in SOCS are reflected in Schoolbox during the next successful synchronisation.
  • Registered pupils are added to the imported Schoolbox team.
  • Assigned staff are added as coaches of the imported Schoolbox team.
  • Pupil and staff identifiers must match their Schoolbox external IDs.
  • Co-curricular activities use the same Fixtures calendar source and components as sports fixtures.
  • Individual record failures do not stop remaining valid records from importing. Schoolbox displays a warning on the SOCS Connector page and preserves previously valid records.
  • Attendance status, activity rules, costs, opponents, and results are not imported.

A pupil registered for an event may see other imported events belonging to the same club.
