Data Retention in Schoolbox

Data retention controls how long deleted content stays in Schoolbox before it is permanently removed.

When someone deletes an item, Schoolbox does not remove it immediately. Instead, it keeps the data for a set period so it can be restored if needed.

There are two stages of deletion in Schoolbox:

• Soft deletion: the item is removed from view, but the data remains in the system and can be restored.
• Permanent deletion (also known as hard deletion): the data is removed from the system and cannot be restored.

Soft deletion gives your school time to recover content. Permanent deletion is final.

Schoolbox keeps deleted data for a period of time to:

• prevent accidental data loss
• allow administrators to restore content
• support school record-keeping requirements
• manage storage in a controlled way

This helps make sure data is not permanently deleted too early.

Only Superusers and IT Administrators can manage data retention and hard deletion.

Permanent deletion occurs when all of the following conditions are met:

• a retention period is set for the data type
• the data has been soft-deleted for longer than the retention period
• the scheduled deletion process runs (daily)

After the deletion process runs, the data is removed from the system and cannot be restored.
