Rich Text Editor Templates

Editor Templates are pre-designed content structures that you (as a Superuser or Design Moderator) can create for school staff to use in the Rich Text Editor throughout the system. 

They are a way to provide a consistent layout and format for commonly used content, such as announcements, newsletters, or assessment instructions. 

Editor Templates help you:

  • save time by avoiding repetitive typing,
  • ensure consistency in tone, structure, and formatting,
  • improve clarity and communication across your school or team,
  • reduce errors by keeping key information in a standard layout, 
  • reuse the template for any regular communication.

You can, as a school staff, use Editor Templates whenever you’re creating content that follows a similar structure or is sent regularly. They’re especially useful when you’re:

  • preparing weekly newsletters or term updates,
  • sending reminders or school announcements,
  • communicating important details to students or parents,
  • needing a consistent format for Learning Activities or instructions,
  • maintaining a consistent page layout, particularly when using the Unit Planner.

Create a new Rich Text Editor template

If you're a Superuser or have Design Moderator access, you can create custom Rich Text Editor Templates for your school.

You can create one or more editor templates for each category in Schoolbox.

To create an editor template:

  1. First, go to Administration > Design > Editor Templates.
    This opens the Editor Templates page for you.
     
  2. Next, select the category in which you want to create the editor template.
    For example, you can select from:
    • Badge Evidence
    • Calendar Events
    • Email
    • Feedback
    • Homepage
    • Learning Activity
    • Learning Moments
    • News
       
  3. Then, in the category you selected, select Create a new template.
    This will open a template form for you to fill in.
    Note: If templates are already listed on this page, select Add Template to create a new one.
     
  4. In Title, enter a title for the editor template.
     
  5. In Description, you can add details on when the template should be used.
    Note: This description will appear alongside the template title to help school staff choose the right one when they're on the relevant page.
     
  6. In Body, type your content directly into the editor or paste it from another source. 
    Use the formatting toolbar to style your text (bold, headings, lists, links, etc.). See Format and Style Content with the Rich Text Editor.
    Note: Select the Enter fullscreen mode icon Enter fullscreen mode - allows you to expand the current window or content area to fill your entire screen, hiding the browser tabs, address bar, for a clean, immersive view. Select the icon again to exit from the full-screen mode.
     
  7. When done, select Save.
    This will create the Rich Text Editor template in the category you selected.

    You’ve now successfully created an editor template that your school staff can use.

Modify the Rich Text Editor template

Once you’ve created an Editor template, it will appear on the Editor Templates page. You can select an editor template to preview it, and you can edit it anytime to make updates.

To edit an editor template:

  1. First, go to Administration > Design > Editor Templates.
     
  2. Select a category. For example, News.
     
  3. Select the edit pencil iconPencil Icon.
    This will open the editor template form for you to edit.
     
  4. Follow steps 4 through 6 in Create a new Rich Text Editor template.
     
  5. When done, select Save.
    This will update the Rich Text Editor template in the category you selected.

    You’ve now successfully modified an editor template that your school staff can use.
     

Delete the Rich Text Editor template

Once you’ve created an Editor template, it will appear on the Editor Templates page. You can select an editor template to preview it, and if it's no longer needed, you can delete it at any time.

To delete an editor template:

  1. First, go to Administration > Design > Editor Templates.
     
  2. Select a category. For example, News.
     
  3. Select the delete icon Bin Icon.
    This will open a confirmation pop-up asking you to confirm the deletion.
     
  4. Select Delete.
    This deletes the editor template for you.

    You’ve now successfully deleted an editor template.

Select and apply a Rich Text Editor template

When you open the Rich Text Editor, the formatting toolbar appears in the text box. It includes buttons and icons you can use to apply different formatting options. To know more, see Format and Style Content with the Rich Text Editor.

As a school staff, you can select and apply a Rich Text Editor template in locations where the editor appears in Schoolbox. For example, in:

  • Unit Planner
  • Calendar
  • Badges
  • News
  • Email
  • Homepage
  • Feedback
  • Learning Moments
  • Learning Activity:
    • Due Work
    • Quiz
    • Task
    • Project
    • 3rd Party Assessment

Note: You can only use this feature in the Rich Text Editor after a Superuser or Design Moderator has created a template for your school.
To select and apply a Rich Text Editor template:

  1. Go to any Rich Text Editor. 
    For example, go to News and select Plus Icon to create a news item.
    This opens the ‘Create news’ page for you.
     
  2. In Body, select the Insert template icon Insert Template icon.
     
  3. Choose a template from the list or type keywords in the search bar to find one.
     
  4. To make further changes to the template, use the formatting toolbar. See Format and Style Content with the Rich Text Editor.
     
  5. Complete all the remaining fields on the page.
     
  6. When done, save your changes.
    This helps you use the Rich Text Editor template to maintain a consistent layout and format across your content.

    You’ve now successfully selected and applied a Rich Text Editor template.

 

Format and Style Content with the Rich Text Editor

You can style and structure your content using the formatting tools in the Rich Text Editor toolbar. The formatting tools are:

  • Enter fullscreen mode icon Enter fullscreen mode - This icon allows you to expand the current window or content area to fill your entire screen, hiding the browser tabs, address bar, for a clean, immersive view. Select the icon again to exit from the full-screen mode.
  • Template icon Insert Template icon - School staff can use this icon to search for and select a predefined template to prefill the Rich Text Editor, but only if a Superuser, Administrator, or Design Moderator has created the template in the Administration area of Schoolbox.
    Note: This icon is not available in the Rich Text Editor within the Administration area of Schoolbox.
  • Bold Bold icon - Make selected text bold.
  • Italic Italic icon - Italicise selected text.
  • Styles Styles icon - Adjust font size.
  • Remove Formatting Remove format icon - Clear formatting from the selected text.
  • Text Alignment Text Alignment icon - Align text (left, center, right, justified).
  • Styles - Apply predefined styles to text (e.g., heading, quote).
  • Paragraph - Choose paragraph formats like normal text, heading levels, etc.
  • AI Assistant icons - See AI Assistant to set up and use the AI assistant icons.
  • Link Link  icon - Add or edit hyperlinks.
  • Bookmark Bookmark icon - Insert a bookmark anchor into your document's Body text. This is particularly valuable for lengthy content, allowing you to establish specific jump points so users can rapidly access relevant sections.
    Note: After creating a bookmark, select the Link icon Link  icon to browse available bookmarks and generate a direct hyperlink to the desired section.
  • Embed Resources Embed Resources icon - Click or drag to drop files.
  • Insert Media Insert Media icon - Upload or insert media files.
  • Emoji Emoji icon - Add emojis to your content.
  • Insert Table Insert Table icon - Add a table to the document.
  • Numbered List Numbered List - Create a numbered (ordered) list.
  • Bulleted List Bulletted List - Create a bulleted (unordered) list.
  • Other Other icon - Access additional formatting or editing options.
    • Special characters Special characters icon - Insert special characters or symbols. For example: arrows, currency, language, mathematical, or text symbols.
    • Insert Equation Insert Equation icon - Add mathematical or scientific formulas using a formula editor.
    • Horizontal Line Horizontal Line icon - Insert a horizontal line (rule) to visually separate sections of content.
    • Find and replace Find and replace icon - Search for specific text in the document and optionally replace it with something else.
    • Source Source icon - View or edit the underlying HTML source code of the content.
