Important Notes - Read before upgrading

In this release, the profile page has been completely rebuilt. As this page can contain potentially sensitive and private information, it is extremely important that you, as a Superuser, take the time to review this page (in Administration > User Management > Profile Editor) carefully to ensure it aligns with your school’s policies. 
As a Superuser, you must:
- Review the student profile for alerts, medical, and comments.
- Check the visibility of fields from a staff, student, and parent perspective for each of the corresponding profiles.  
- Ensure that the field terminology you use aligns with your school’s preferred terms, and you can update the terminology if required.
- If you had custom work on this profile page, we’ve made every effort to migrate any custom work on this page, but you must review it to confirm that your customisations are working as expected.

With the new, more granular admin permissions, some users may now have added access to admin features. You should review all your service permissions and check which users have been granted access. To do this, go to Administration > User Management > Home > Service Permissions > View All
Pay close attention to the following services, as users with access to them will have additional access rights to:
- Calendar Moderators - update calendar subscriptions and event types.
- News Moderators - update news topics and news policy settings. 
- CMS - manage allowed files.
- Pastoral Care - create types and sub-types.

We’ve added powerful customisation options to the profile page, giving schools more control and security over the information displayed on each user's profile page.

  • Customisable fields and layout: Decide what information is shown on each profile page, including fields, alerts, and tabs, to keep profiles relevant and easy to navigate.
  • Protect user privacy: Ensure that only authorised users can access sensitive information to keep user privacy safe. Profile details change according to your role and relationship with the user, so you only see information that is relevant and accessible to you.
  • Simplify control: Schools have one main place to control who can see the entire profile, allowing schools to keep track of what information is displayed and in what contexts.

These improvements help create a more personalised, secure, and effective experience to view and manage your community profiles.

Superusers should read the Important Notes section for further information and actions including reviewing, checking visibility and updating terminology for your user profiles. For further information, see our help pages on User Profile Builder and Use Profile Buttons.

All Users may see a difference in the presentation of user profiles, as per your school set up.

To make platform management more secure and flexible, we’ve introduced Module-Specific Admin Access. Previously, only Superusers had access to the Administration area, creating an all-or-nothing access model. Now, designated Module Admins can manage individual modules with ‘Moderate’ access granted within their specific areas of the platform.

  • Delegated Administration: Each major module now has its own dedicated admin roles, so tasks can be managed by the people with the most relevant expertise.
  • Streamlined Processes: With distributed admin access, staff across the school can manage specific modules, improving efficiency and reducing bottlenecks.
  • Enhanced Security: By limiting each role's access to only the necessary information and functions, you can reduce the number of superusers and decrease potential security risks from account breaches.
  • Non-Superuser Role Impersonation: You can now grant access to non-superusers, allowing them to impersonate specific roles for enhanced flexibility and support.
  • Module-Specific Access: Users can now act as moderators for their assigned modules, enhancing oversight and improving control within the following Schoolbox modules:
    • Calendar - Allow moderators to bulk upload calendars, subscribe to external calendars, control event types as well as manage school level events.
    • LMS - Control LMS policy settings, academic periods, work types, grade scales and course frameworks and lesson templates. Generate summative reports, delete student feedback and alter common assessment tasks in classes.
    • CMS - Manage allowed files, restore deleted pages, and moderate the entire file system.
    • Pastoral Care - Create types/sub-types, tags, and follow-up actions. Define the default settings by type and provide the ability to see all records.  
    • News - Moderate news and control the news topics and settings.  
    • Badges - Create new badges and set up badge categories.
    • Design - Control the look and feel, setup the top and side menu and configure templates to ensure a consistent look.
    • Timetable - Oversee the import of SIS data into Schoolbox, review logs, commence manual syncs, and keep the timetable up to date.

This feature empowers your team with admin access, enhances security, and ensures every area gets the focused management it needs to run smoothly.

Each persona with additional levels of access will be able select their profile image and 'Administration', to view additional access options.

Curriculum Coverage Report

Our new Curriculum Coverage Report helps curriculum leaders and teachers in delivering a complete, compliant, and balanced curriculum. This tool provides essential insights into how each unit, lesson plan, assessment, and activity aligns with the school’s curriculum standards.

  • Comprehensive Curriculum Coverage: Ensure both the breadth and depth of curriculum content are thoroughly addressed, helping educators address all necessary topics, skills, and learning behaviours.
  • Balanced Curriculum Emphasis: Identify any areas that are being overly emphasised or prevent repeating content that has already been taught in other courses, creating a more efficient and balanced learning experience.
  • Aligned Assessment and Learning Outcomes: Review how well assessments match with the learning outcomes of each course to ensure that what’s taught is also being properly and effectively assessed and measured.
  • Improved Documentation and Compliance: Highlight areas where documentation needs to be strengthened to help meet accreditation requirements and support ongoing compliance.

This tool empowers educators to ensure every aspect of their curriculum is addressed, balanced, and aligned, improving both teaching and assessment across the school.

We’ve introduced a Bulk Document Upload to make it easier to add important documents to the Pastoral Care record system. This feature allows schools to quickly upload, store, and share critical student documents with relevant staff, students, and parents, all while ensuring security and confidentiality.

  • Efficient Document Upload and Assignment: Bulk upload documents such as summative reports, individual learning plans, and medical action plans. Files are automatically assigned to the correct student based on the filename, saving time and reducing administrative work. 
  • Secure Access Controls: The system leverages existing pastoral care visibility rules to manage access, ensuring that only authorised individuals can view sensitive information, which keeps student data safe and secure.
  • Centralised Document Management: Store essential student documents in one place, making it easier for authorised users to access and review student records when needed.

This feature supports faster and safer document handling for pastoral care needs, helping staff and parents stay informed and up-to-date about important and essential student information.

Superusers and Pastoral Care Moderators are able to upload documents such as Summative Reports in bulk to Pastoral Care. For further information, see our help page on Bulk Document Upload for Pastoral Care Records.

  • Admin:
    We’ve added:
    • A setting to turn off prompts for PWA installation and enabling of web notifications. See the ‘Notes’ in the help page.
    • TASS Parent Orbit as a notification delivery provider so that parents can access important information from schools. See the help page.
    • Support for Single Logout (SLO) on third-party OAuth endpoints by providing a logout URL.
    • An option to define custom redirect URLs for LTI widgets with non-standard redirection endpoints.
    • Curriculum package for Version 2 of Victorian Curriculum in Administration > Modules > Packages.
    • Curriculum package for the Achievement Standards of the Australian Curriculum (v9).
    • A ‘subject overview’ that you can now include in Summative reports to help you see the overview of the subject in the course. See the help page.
    • The ability to remove users from all groups via the user bulk modify page.
    • The Compact Mode in the ‘My Students’ dashboard component. See the help page.

For School Staff

  • Pastoral:
    • When you receive a notification about a comment on a Pastoral Care Record, the notification will now highlight the specific Pastoral Care Record that contains the comment in the results. See the help page.
       
  • LMS:
    • The ‘Mark as submitted’ bulk action for assessments on the Due Work Status page has been renamed to ‘Manage submissions’. This allows staff to submit drafts on behalf of students who missed the deadline. See the help page.
    • A barcode field has been added to user profiles so school staff and students can use them as scannable library or print cards. See the help page.

  • The Denbigh connector has been removed, as it was no longer used by any customers.
