Create user pronouns

As a Superuser, you can create pronouns for your school.

To do this:

  1. In Schoolbox, go to Administration > User Management > Lists - User Pronouns
  2. To create a new user pronoun:
    • Select Add new row.
    • Add forms of the new pronoun:
      • Subjective (They) - For example, he.
      • Objective (Them) - For example, him.
      • Possessive (Theirs) - For example, his.
    • When done, select Save.  
      This creates a new user pronoun for your school.

You’ve now created a new user pronoun.

Note - You can use the Grab Handle icon to drag and change the order of pronouns listed in the drop-down menu when you modify a user profile.  

You can also edit the pronouns that you’ve created. 

To do this:

  1. In Schoolbox, go to Administration User Management > Lists - User Pronouns
  2. In User Pronouns, edit forms of the user pronoun. For example, they, them, theirs. 
  3. When done, select Save for the changes to take effect.

Note - To delete a pronoun, in Administration User Management > Lists - User Pronouns, select the Bin icon for the row you want to delete.

As a Superuser, you can update users' pronouns by importing a CSV file. 

To do this:

  1. In Schoolbox, go to Administration User Management > Import CSV
  2. Select Download Template.
  3. Next, open and edit the downloaded CSV file.
  4. Then, save the CSV file. 
  5. When your CSV file is ready for upload, you can:
    • Select it from your folder to upload it.
      (or) 
    • Drag and drop it to the file drop zone. 
  6. Select Preview Import to preview the file.
  7. Check the output for any errors, and then select Run Import.
    This imports the list of users with pronouns.
    When you search for a user with pronouns, their pronoun will also display.

Assign pronouns via the User Provisioning System (UPS)

The User Provisioning System (UPS) can automatically provision active user accounts from your School Information System (SIS) data into Schoolbox. If your SIS has a compatible pronouns field, as a Superuser, you can assign pronouns using the UPS for users in the SIS or the School User Data Store (SUDS).

You can assign pronouns dynamically for users based on a compatible SIS field. The users can be of any role type, such as Staff, Students, or Parents.

To do this:

  1. First, check if you will use an existing rule or if you want to create a new rule specific to pronouns.
  2. Next, check if you need to add a condition for pronouns.
  3. Then, add the effect ‘pronoun’.
    In Effects, make sure you select Maps and set the SIS field where your pronouns are stored.
  4. Then, map that field to the selected pronoun in Schoolbox. 
    For example, use:
    • Token = {:customField1} 
    • Mapping = Maps or Equals 
    • Female = she/her
    • Male = he/him
      UPS
  5. When done, select Save Rule and then test your changes with the dry run.

    Note - When you use the UPS to assign pronouns for a user in your SIS, the changes you’ve made may be reversed when the UPS runs overnight (unless otherwise configured). It only makes changes for the role types that you activated to run.

    You’ve now assigned pronouns via the UPS.
    When you search for a user with pronouns, their pronoun will also display.
