Release 13.0 Introduction

This document contains the detail regarding the release of Schoolbox version 13.0 in May 2013. Version 13 was a big journey for our team and we are proud to release this with a number of key new features:

For this release we have completely overhauled the ePortfolio system to provide an improved experience and better support for a range of curriculum requirements. Key to this experience is the addition of multiple pages based on admin defined templates.

On top of this we have rewritten the calendar to support all the modern requirements of a complex school environment. We have added multi day events, full drag and drop support and resizable calendar view. If that wasn't enough you can now subscribe to live calendars and import them directly into Schoolbox so you can integrate your existing Outlook, iCal or Google calendars directly into Schoolbox.

Major Features 

ePortfolio

ePortfolio Templates

The administration system has a new “ePortfolio” tab. This new admin interface will enable administrators to control the templates that can be applied when students create pages in the ePortfolio system.

This concept will allow you to produce specific ePortfolio templates that map to your curriculum requirements. For example; resume, reflections or achievements. The students will be provided with predefined areas to populate and be lead through the process.

ePortfolio Profile

When landing on a student’s ePortfolio, you will now see the improved ePortfolio profile interface. This now displays student information, recent and relevant content relating to the ePortfolio and in addition, students will see functionality enabling them to administer their ePortfolio.

ePortfolio Showcased Work

A new Showcased Work interface has been created and is accessible from the ePortfolio profile page. This new interface displays all the work items a student has “Published” to appear as showcased work. This allows students to reveal their results. In the future we will also enable the ability for students to reflect on individual pieces.

ePortfolio Pages

Pages are essentially collections of ePortfolio components. Students can add pages to their ePortfolio. When a page is added, the student will select from the ePortfolio templates that have been created by the administrator. The initial layout will then present the components and their pre-set configurations, based on the template selected.

Students can adjust and configure each component as they then see fit enabling them to fully customise their page. Each page will have the ability to add and remove components from any of the pre-defined defined components in the admin system ePortfolio templates.

Just like managing a homepage, components can be added via the “Configure page” area which enables students to control, components, page settings, colours and permissions.

The permissions tab will offer functionality for the student to control who will have access to the respective page within their ePortfolio. Teachers and superusers will always have access, however students will be able to choose to allow parents, groups and even individual students to have access to view their ePortfolio pages.

ePortfolio Components

As part of the ePortfolio update have also created two new homepage components. Based on the requirements to enable students to enter certain information as a list, we’ve added:

• Basic list component
• Advanced list component (includes images and description)

These can be used in the ePortfolio for things like “education history”, “employment history” or “currently reading”.

Continous Reporting

In our quest to help our schools move towards the goal of continuous reporting we have made some major upgrades to the View All Due Work interface. The upgrades include breaking the system into individual pages for each subject, graphing individual student performance and trends against the whole class, detailed grading criteria for the class and a cleaner layout of assessment data. We've also added in new Publish/Unpublish buttons to the due work items enabling students to quickly publish work to their new ePortfolio showcased work.

Note: The Commenting system detailed in the image below is still in development and not yet released.

Video Player

We have added in a new video transcoding system into Schoolbox that enables users to upload and host Video’s directly within Schoolbox in addition to the traditional embedding of external video sources such as YouTube. This is done by uploading a locally stored file from a computer so that students have easy access to a video without going through an external website. This can be useful as it allows for showing videos that my otherwise be blocked but necessary or useful to watch as well as reducing bandwidth from the access of an external website that a link would require. Please note that videos will take up to 20 minutes to be processed before appearing on your page after upload.

 

Calendar

We have improved the calendar system with a number of enhancements making it easier to connect Schoolbox to existing external calendar sources like Google and Microsoft Exchange.

New Interface

We have also updated the calendar interface to support these new subscribed calendar feeds. Included are:

1. New week and day views
2. Ability to drag and drop events created in Schoolbox to update their associated dates
3. Ability to drag to update event times on week and day view
4. Ability to click on the calendar to create and event

Tasks

We’ve added in the ability for users to create Tasks in the calendar. This effectively enables students to use Schoolbox as their eDiary as they can create a task on a day and once complete, they can mark it completed. Tasks can optionally have notes attached for further details to be associated with the task.

In addition to the existing import functions for bulk loading calendar, the administration system has been updated to include a new “Subscribe” tab. Under the “Subscribe” tab is an interface to configure Schoolbox to subscribe to live external vCal feeds. Most notably this will apply to those using Google Calendar and Microsoft Exchange to managing school wide calendars. Adding these into Schoolbox will enable you to keep Schoolbox in sync with these external calendar systems.

When subscribing to a calendar you are able to enter in a URL to the feed, select the type of event (and hence it’s associated colour from your Event List settings), and then specify which campuses and groups will have access to see these events.

You will not be able to edit these events through Schoolbox therefore ongoing management of these events will then be performed in the external system which the event was created in.

Submissions

What about all those iPads? In response to a growing number of requests to both streamline the process of marking and returning work to students online submissions to due work and for schools to better utilise iPads in the classroom, we have now extended WebDav functionality to submission boxes. Note: WebDav will need to be configured for each school for this to function correctly.

• Students can now create a document on their iPad in an iOS app like Pages and upload this document directly to their submission boxes via WebDAV. This causes Schoolbox to accept the upload as a submission and notify the Teacher that work has been submitted! This feature should work with any app across a range of mobile devices that support WebDav.
• Teachers can now attach multiple files to a submission box and provide a full HTML description
• Teachers can hide marks for submission boxes until they're ready to be shown
• Students can now submit submissions through a TinyMCE editor meaning submissions can be created and submitted right in the browser without needing to upload a file at all

Home Page Components

We have added two new components two homepages.

• Wolfram|Alpha widget embed component. See a complete list of widgets on Wolfram|Alpha

Resource Browser

We have added a third panel to the right of the resource browser making file management easier. This displays an easy to access preview of the content being browsed and the options available for its use. By doing this, not only does it make the content easier to access and use effectively, but also allows for user's on tablets to have access to all of the possible options for a file or folder despite the lack of a right click capability.

Email Digest

We have added in new email digest feature that can be configured to automatically email students, teachers and parents a digest of all recent activity in Schoolbox such as school and group news, events, upcomming due work, and homepage activity feed. Note: This service must be manually enabled. Please email support@alaress.com.au to request.

Online Testing

• SB-1396 Removed the text "There may be more than one right answer." from online assessment's with multiple choice questions in favour of allowing the person writing the question to say that or not if they choose.

Submissions

• SB-493 Teachers can now upload multiple documents as attachments when creating due work items.
• SB-1666 Migrated due work submission boxes to utilise the new storage engine rather than the file system. This will enable parents to access the files but not class pages. It will also stop due work from showing up in the files list on the class homepage.
• SB-1945 Added a new mark type called "Submitted". This allow teachers to mark work whether it has been submitted or not. This is only really applicable to phyical hand ins. It allows teachers to tick a box indicating the work has been completed/received.
• SB-1953 Students can now submit a text based response to a due work item through. This will enable students to open a due work item on an iPad and write their response straight into Schoolbox as their submission.
• SB-1954 Students can now access submission boxes via WebDav. This means they can create a document in an app like the iOS Pages app and then save this document straight into a submission box within Schoolbox. Saving the file prompts the teacher that new work has been submitted.
• SB-1958 Teachers can now control the visibility of marks. Currently marks are always visible to students and parents regardless of the work. Schools now have control of this on both a school level and a item level. When creating due work or online assessments, teachers will now see a drop down menu with visibility options including Staff only, Students, Students and Parents. Teachers can modify this setting after creating the assessment so you could keep it private until all the marks are completed and then publish them.
• SB-2005 Students can now see the Plagscan cheat checker results in their due work detail page. This shows them what percentage the system scored their work. This feature is controlled by a policy setting in the admin system.
• SB-2066 When a group does not have a manager it will now say it is 'Unmanaged' rather than listing an 'Unknown User'.
• SB-2099 Updated styling in admin system of tabs so they fold down to the line below when the display's width is too small. Previously the tabs on the end were cut off and therefore inaccessible on smaller resolutions.
• SB-2119 Added a label to the 'Title' field when user was modifying a textbox's content

• SB-1667 Tinymce should be modified so that you no longer can upload files from the browse button. Browse button should remain but an additional function should be added to upload a file. The file should be uploaded into the storage engine rather than the filesystem. It will also stop images being embedded from turning up in the file listing which is counterintuitive.

• SB-1832 After receiving formal brief from Synergetic on how to handle parent emails, we have implemented the changes. The new system looks at the student relationships table and gets the 'Use Email' field for each relationship listed and sends to them. This mean you can control who gets emailed independently of SC1 and SC2 and any other relationship type. So for example you can make the guardian get the emails and leave SC1 as the father. Or any other type of relationship.
