Within Schoolbox you can create custom Summative Reports. The reports can be customised to display grades, rubrics and teacher feedback within the Schoolbox LMS.
Before being able to access and start creating reports, the Summative Reporting module needs to be enabled within Administration > Modules > Settings > Enable Summative Report.
Once the module has been enabled, it will appear in Administration > LMS > Summative Reports.
Go to Administration > LMS > Summative Reports and select the + to create a new report:
In Title, enter the report title:
In School Logo, upload the school logo:
In Introductory Message, use the rich text editor to enter an introductory message:
In View as, select the specific role type that can see the assessment feedback:
In Filename, create a filename for the reports. Use available tokens to create unique filenames: Note: Available tokens - [externalId], [title], [firstname], [surname], [preferredname], [year]. .pdf will be appended automatically.
In Footer, add the student's name and details to display a footer on each page of the summative report:
In Academic Periods, select which academic periods to include in the report: Note: The report will only include assessments that are due within this academic period.
In Student Selection, select which students are to be included in the report export. You can choose to include students by their Year Level, Campus, or search for an individual student:
SUMMARY PAGE
If toggled to ‘ON’, the Summary Page will display a list of page names where a learning activity has been undertaken within the academic period. You can choose to display just the overall grades or the grades from specific assessments in each subject.
Toggle the Summary Page to ON:
In Heading, create a heading title to customise the name of the summary page:
In Display Options, select the display options for use on the Summary Page:
Show overall grade
Show cohort/class distribution
Show class code Note: To enable the graph option for the Summary page, you must select Show cohort/class distribution.
In Work Types, select the Work Types and the parts of the feedback to display on the Summary Page. The feedback can include the Learning Activity’s grade, comment, rubric, and graph. Note: You now have better control over which work type graph to view, allowing you to choose and display the specific data you need. This helps you track student progress, identify trends, and spot areas for improvement. Note: Where a page has no data selected for use on the Summary Page, it will not appear on the downloaded report.
In Curriculum Progressions, select the Enable checkbox. When you enable this, Schoolbox shows a visual summary of the progression points students have earned from assessments linked to the selected work type. This visualisation appears in Summative Reports and helps teachers track student progress across the curriculum. Note: This feature currently supports Victorian Curriculum Progression Reporting. You can see the setup instructions in 'Enable Victorian Curriculum Progression Points in Schoolbox Summative Reports'.
CLASS PAGE
If toggled to ‘ON’, the report will include a new PDF page per page where a learning activity has been undertaken within the academic period. If a current class code is in use, the name and profile picture of the Teacher will also display. This page may include summary graphs and assessments for more detailed information about the class.
Toggle the Class Page to ON:
In Display Options, select the display options for use on the Class Pages:
Show overall grade
Show cohort/class distribution
Show class code
Show subject overview Note: To enable the graph option for the Class page, you must select Show cohort/class distribution.
Next, if you’ve selected ‘Show subject overview’ as the display option, in the Textbox Title on Course page field, enter the same title as the textbox heading from the course homepage to display its content in the Summative report. For example, use the same textbox title here that you used when you added a Course Overview from a course homepage. This will ensure you can view the subject overview in the course.
In Work Types, select the Work Types and the parts of the feedback to display on the Class Pages. The feedback can include the Learning Activity’s grade, comment, rubric, and graph. When done, select Save. This creates the summative report for you.
Note:If Custom Participation has been used to exclude a student from a learning activity, this learning activity will not appear on their Summative Report. Where a page has no data selected for use on the Class Page, it will not appear on the downloaded report. The formatting of a Summative Report can be altered using Custom CSS in Administration > Design > Settings - Skin Config. Schoolbox does not support the use of Custom CSS.
Schoolbox lets you, as a Superuser or a Pastoral Moderator with ‘Moderate’ or ‘Write’ access, bulk import Summative Reports into Pastoral.
To do this:
On your Schoolbox homepage, select the Pastoral icon . This opens the Pastoral Care homepage.
Next, select the 3 dot-menu iconand then select Bulk Import . This opens the Pastoral Bulk Import page.
Note: Alternatively, you can also go to Admininstration > Pastoral Care > Bulk Import and open the Pastoral Bulk Import page. Select Click here to perform a bulk import.
In Title, enter the pastoral record title. This title will be applied to every pastoral record created.
Next, in ZIPFile, drag and drop the ZIP file that contains the downloaded student records for bulk import. See How to download a Summative Report. Note: You can also drag and drop a ZIP file downloaded from other systems, such as Sentral Reports, Summative Reports, TASS Reports, Synergetic, and Accelerus.
Then, in File path template, enter the template that was used to create the paths for the files within the ZIP file. Notes:
You must include [externalId] in this template because it is used to identify the student each file belongs to.
If using a Schoolbox Summative Report, use the filename format specified in that export. For this:
Go to Administration > LMS > Summative Reports.
In the desired Summative Report, select the Modify iconto go to Filename and copy the filename format that you’ve already defined.
Then, go to the Pastoral Bulk Import page and paste it into the File path template field.
Then select the appropriate Type, Sub-Type, Severity, and Points.
Next, select any Tags that pertain to this record. Tags will enable filters to be applied when generating Summative Reports.
Complete the necessary details for the records in the General content section.
Next, in Record Visibility, you can define the audience visibility of the report. This section will be locked unless you are a Superuser or a Pastoral Moderator:
Deny: The selected audience cannot view the pastoral record.
General: The selected audience will be able to view the written description and view attachments in the General section.
General + Confidential: The selected audience will be able to view the written description and view attachments in the General and Confidential sections. In the event that no Visibility settings have been defined, you will see a message that no visibility has been set for this report.
In Record Visibility > Match Campus,you can select the report visibility options for staff roles and pastoral groups. When selected, only the school staff in the same campus as the student will have access to this report.
Comments allow the selected users to read and post comments on this report.
When done, select Preview. This opens the Pastoral Bulk Import Preview page.
Check the details of all students listed in the preview.
When done, select Import. This bulk imports Summative Reports into Pastoral and opens the Pastoral Bulk Import Results page. You can now go to Pastoral Care on the student’s profile page and view the imported Summative report as a PDF file.
Notes:
If visibility is enabled::
Students can access the Pastoral Care section on their profile page to view their uploaded Summative reports as PDF files.
Parents can view their child’s uploaded Summative reports (PDF file).
You’ve now bulk-imported Summative Reports into Pastoral.
Summative Reports utilise a particular logic to order the pages and their respective learning activities. That logic is:
Order pages by ‘Sequence’ as defined during the class upload process.
The higher the number in the sequence, the earlier the page will appear.
Where a value is not defined, it will treat the null as a 0.
Negative numbers may also be utilised.

Enable Victorian Curriculum Progression Points in Schoolbox Summative Reports

The Victorian Curriculum is designed as a learning continuum, allowing your school to track student achievement as they grow and develop over time. To support this, Schoolbox includes a Progression Point visualisation feature in Summative Reports.
This feature helps your school to demonstrate how students are progressing across academic periods by using data from assessments linked to the Victorian Curriculum. When assessments are mapped to curriculum codes, Schoolbox can compare a student’s current achievement with their previous results—if past data is available—making it easier to spot growth, trends, and areas for improvement.
To enable the Victorian Curriculum Progression Points in Schoolbox Summative Reports, you need to:
‘Map a curriculum code’ to each assessment (Due Work, Quiz, or Project) using the correct ‘Victorian Curriculum code’.
Use a ‘consistent Work Type’ that is set up specifically for reporting.
Make sure all ‘assessment dates’ (Publish, Open, Due, and Late) fall ‘within the academic period’ you’re reporting on.
Set the Mark Type to Letter Grade for both Input and Display, and choose the appropriate Victorian Curriculum Grade Group.
Add Historical Assessment Data
Schoolbox can only show Progression Points from past academic periods if historical assessment data is available and correctly set up.
If this data is missing, you can ‘bulk upload historical results’ into class pages using the Bulk Feedback Import tool. This tool lets you upload assessments with a specific ‘historical Publish Date’, making it possible to include past data in Summative Reports.
Make sure the uploaded assessments follow the same setup rules as current ones—like curriculum codes, work types, and mark types.
To upload historical assessment data into Schoolbox:
Go to Administration > LMS > Bulk Feedback Import. This opens the Bulk Feedback Import page.
Download the provided ‘.csv template’ to use as your upload file.
In your .csv file, include the following fields:
Class Code
Student External ID
Normalised Mark — Use a ‘numerical score’ (e.g. 77), not a learning level (e.g. 9).
Publish Date — This must fall within the ‘correct historical academic period’ (e.g. 2024-2).
Make sure these fields are filled out correctly:
Due Work Title — Must exactly match the name of the Due Work item on the class page.
Work Type — Must match a ‘valid reporting Work Type’.
Feedback Author — This field is required; otherwise, the upload will fail.
Once your .csv is ready and checked, upload it using the Bulk Feedback Import tool to import the results. This ensures that historical assessments appear correctly in Summative Reports with Progression Point visualisation.
Enable Progression Points in Summative Reports
To enable Progression Point visualisation in a Summative Report, follow steps 14 and 19 to enable ‘Curriculum Progressions’ when you create a Summative Report.
Note: Make sure you select the appropriate Work Type used for reporting (e.g. Assessments linked to the Victorian Curriculum).
