GeoSnapshot is a professional school photography platform designed to manage, organise and distribute event and activity photos to families and staff.
 

Schools use GeoSnapshot to streamline photo delivery from sports days, carnivals, excursions and co-curricular programs. The platform supports secure access to albums, student photo identification and optional purchasing of images where applicable.
 

When integrated with Schoolbox, GeoSnapshot albums and management tools can be accessed directly within your Schoolbox instance. This provides a seamless experience for staff, students and families without requiring separate logins or additional account management.
 

The integration ensures:

The GeoSnapshot integration provides direct access to your GeoSnapshot photo albums from within Schoolbox instance, without requiring users to log in again.


Instead of sending families or staff to a separate platform, the integration embeds your GeoSnapshot albums directly into the relevant area, creating a seamless experience inside your existing environment.

With the integration enabled:

  • Users can access photo albums without a separate login
  • Navigation stays within your Schoolbox instance
  • The experience feels unified and streamlined
  • Admin teams avoid managing additional credentials or instructions

 

This approach keeps everything in one place, reducing friction for families and staff while still leveraging GeoSnapshot as your photography provider.

How to set up the GeoSnapshot Integration

Once GeoSnapshot has been purchased externally, the Superuser at your school will need to enable it's use inside your instance of Schoolbox. The steps below outline how to manage the internal set-up.

1. Go to Administration > Modules > Settings.

2. Toggle 'Enable GeoSnapShot Integration to 'ON'.

Note: When toggled to ON, the View Photos button will show up on a student's profile, allowing parents, students, and staff to view the student's photos uploaded to Geosnapshot.

3. Go to Administration > System Settings > 3rd Party Services.

4. Insert the GeoSnapShot API key provided.

Note: A separate account will need to be created with GeoSnapshot prior to the Third Party Integration being functional.

5. When done, select Save.
You've now successfully set up the GeoSnapshot integration.

How to manage the GeoSnapshot Component via Lists

Superusers have the ability to turn on and off a variety of components within modules throughout the instance.

1. Go to Administration > Resources > Lists - Components.

2. Browse the components by module, name and description.

3. Define the visibility of the component.

How to add the GeoSnapshot Component to a Homepage

To add the GeoSnapShot component to a Homepage:

  1. Select the '+' button on the top right-hand side of your page:

  2. Select the 'Multimedia' tab:

  3. Drag and drop the component to the desired location on the Homepage:

  4.  Next, select the settings cog icon Settings Cog Icon and enter the: 
    • Event Name 
    • Album Name
      Note: The event name and album name are the ones displayed in GeoSnapShot. 
    • Heading of the component
      Note: Select the checkbox to display the title for read-only users. 
    • Height of the component  
       
  5.  When done, select Update.
    This adds the GeoSnapShot Component to the Homepage using your selected settings.

Note: You can also set up the GeoSnapShot component in a similar way by going to Administration > Resources > Homepage Templates.

How to add the GeoSnapshot Component to Dashboards

You can add the GeoSnapshot Component to any Role's Dashboard. 

To do this:

  1. Go to Administration > Design > Dashboard Templates.
     
  2. Use the drop-down arrow to select the role for whose Dashboard Template you wish to add the component to:

  3. Drag and drop the GeoSnapshot Component into the desired location on the Dashboard:

  4. Next, select the settings cog icon Settings Cog Icon and enter the:
    • Event Name
    • Album Name
      Note: The event name and album name are the ones displayed in GeoSnapshot.
    • Height of the component  
  5. When done, select Update.
    This adds the GeoSnapshot Component to the Dashboard using your selected settings.

How to display Event Photos

It is possible to display a specific event within the component by adjusting the component settings. 

1. Unlock your page.

2. Select the settings cog on the top right-hand side of the GeoSnapshot component.

3. Insert the specific event name inside the 'Event Name' box and select 'Update'.

4. In Album Name, enter the album name to choose which event photos you want to view. This helps you filter photos more easily in the GeoSnapshot component.

5. In Height, you can customise the display height of the GeoSnapshot component. For this, enter a whole number to define the height of the component. 
The GeoSnapshot component will appear larger as you increase the height value. For example, setting it to 500 (default value) or any other value such as 1500 will adjust its size accordingly.

This will then display the event as the component cover image to enable quick access to this event photo set.

Note: Filtering can only occur at an EVENT level, and if you have multiple events with the same Keyword, then all events that have that word will display within that component.
 

How to View Photos

It is possible to view photos of a Student via the following methods.

As a Parent, select 'View Photos' from the 'My Students' component on the Parent Dashboard.

As a Teacher, select 'View Photos' via the Student Profile Page.

Note: The school GeoSnapshot account will open and the Parent can use the interface to find all, or specific photos of their child.

This integration allows parents, students, and school staff to view and manage event photos securely within the Schoolbox platform.

How to access Staff Profile Photos

You can, as a school staff, view your photos on your profile page in Schoolbox after the GeoSnapshot integration.

Note: The Superuser in your school:

As a school staff, to view your photos on your profile page:

  1. In Schoolbox, select your profile picture, typically located at the top corner of the dashboard, and then select Profile
    This opens your profile page.
     
  2. In your profile page, select View Photos tab. 
    Note: The ‘View Photos’ tab name depends on what your school chooses when configuring this field in Profile Buttons. See Customise Profile Buttons (for Superusers).

    This opens the GeoSnapshot integrated page, where you'll see images associated with your staff profile.

    You’ve now viewed your photos on your profile page.

GeoSnapshot SSO & Management Page

Enabling GeoSnapshot SSO allows authorised staff to access the GeoSnapshot management page directly within your Schoolbox instance, without needing to log in separately to GeoSnapshot.
 

Once configured, staff simply sign in to Schoolbox as usual. Access to the embedded GeoSnapshot page is handled automatically in the background, providing a seamless experience with no additional authentication steps.


With SSO enabled:

  • Staff access GeoSnapshot from within Schoolbox
  • No separate GeoSnapshot login is required
  • No additional passwords to manage
  • Access is governed by Schoolbox roles and permissions

 

This ensures a streamlined and secure workflow while keeping the experience fully contained within your Schoolbox instance.

How to enable the embedded management page (using GeoSnapshot SSO Authentication)

IMPORTANT: After enabling the GeoSnapshot integration in Schoolbox, you can complete the following steps to enable the embedded management page (using SSO authentication).

1. Set up OAuth for the integration between GeoSnapshot and Schoolbox to work. 
Please see GeoSnapshot ↔ Schoolbox SSO Setup Guide for instructions on how to complete the setup.

2. Go to Administration > System Settings > 3rd Party Services.

3. Insert the GeoSnapshot Management Launch URL.
This is the URL to launch GeoSnapshot SSO. For example:

Adding this GeoSnapshot Management Launch URL gives you direct access to the GeoSnapshot Management Interface with streamlined photo management, upload viewing, and secure SSO login.
Note: Your GeoSnapshot Administrator can find this URL in the GeoSnapshot settings.

4. Insert the GeoSnapshot Management Library URL. 
This is the URL to launch the GeoSnapshot Management Interface. For example:

Adding the GeoSnapshot Management Library URL provides direct access to manage event photos, view uploads, and sign in securely with SSO.
Note: Your GeoSnapshot Administrator can find this URL in the GeoSnapshot settings.

5. When done, select Save.
You've now successfully enabled the embedded management page (using GeoSnapshot SSO Authentication).

Note: To access the interface, you can add /geosnapshot/management to your Schoolbox URL. 

Redacting Photos

Schools are responsible for ensuring student photo permissions are respected at all times. The redaction tools within the GeoSnapshot integration help you manage privacy requirements quickly and confidently.
 

Whether permissions are updated individually or in bulk through systems such as Synergetic, SUDS or Wonde, you can apply redactions efficiently and keep photo access aligned with current consent records


Within this section, you can:

  • Instantly redact photos where required
  • Apply bulk permission updates via CSV or integration
  • Manage redacted images in a central gallery
  • Control photo visibility across your Schoolbox instance


These tools ensure your school remains compliant while maintaining a streamlined workflow for managing event photography.

How to Instantaneously Redact Photos

Photos may be redacted using either of these two mechanisms:

Within GeoSnapShot

As the Administrator for your School's GeoSnapShot account you will have the ability to redact photos of Students who, due to Privacy Consent, should not appear in Visual Media. This process is simple and instananeous. All full and partial photos of the student will be removed from all Photographic events using the unique facial recognition algorithm.

This process needs to be conducted inside the external GeoSnapShot account for your school.

1. Log in to the School GeoSnapShot account as the School Administrator.

2. Locate a photo of the student whom you wish to redact from the photo library of the School GeoSnapShot account.

3. Download the image file for the student.

3. Go to 'Photo Security'.

4. Drag and drop the image into the 'Redact Photos for Privacy' area.

All full and partial photos of the student will now be removed.

Within your Student Information System

Some SIS allow for identifying permission to share the student photo. Where possible Schoolbox will retrieve this information from the SIS and pass it on to GeoSnapShot to redact the photos. 

How to Redact GeoSnapshot Photos using Synergetic

Within Synergetic > Current Student Maintenance > Photo Tab, there is a LegalPhotoWebFlag or 'Web' field that can be used to: "Select if the student's parent has given permission for the photo to be displayed on your organisation's public web site.".

When selected this will make images of the student available in the GeoSnapShot platform to view.

When unselected the images of the student will be redacted and therefore not available to view in the GeoSnapShot platform.

The redaction only occurs on current students and requires the student to be in the current FileYear and FileSemester

The auto-redaction process happens once every hour.

How to Redact GeoSnapshot Photos using SUDS CSV Upload

The School User Data Store (SUDS) has a field 'Photo Redacted'. 

If a student needs to have their photo redacted insert '1' within this field and reupload the CSV file.

How to Redact GeoSnapshot Photos using Wonde

Are you sure you want to remove this component?

The School User Data Store (SUDS) has a field 'Photo Redacted'. 

Wonde will populate this field with a '1' based upon the field 'photograph_student' field that can be used for: "Have the parents given photograph student permission.".

How to Manage Redacted Images in the Gallery

Redacted Images Gallery

With this feature, administrators can now see which photos have been redacted and take control of the image review process. The gallery allows for you to identify which images are redacted. 

This process needs to be conducted inside the external GeoSnapShot account for your school.

  1. Log in to the School GeoSnapShot account as the School Administrator.
  2. Go to 'Photo Security'.
  3. Under each redacted image you will see a count of photos that have been redacted.
  4. Click on the portrait that you wish to see the redacted photos.
  5. Click on a redacted photo you can
    1. Download ( This will allow for editing and re-uploading) OR
    2. Un-redact, which will reverse the redaction for that photo and make it visible in the event gallery.

How to Set Photo Privacy

Within GeoSnapShot there are 3 key privacy settings. These can be accessed on the manage event page by clicking update privacy shield.2024-09-16_12-38-11.PNG

You have three privacy options for sharing event photos:

  1. Unpublished
    Only team members and invited photographers can view photos from this event.
  2. Restricted (Recommended)
    Only Schoolbox users can see the photos. Choose this setting when you want to share and view photos exclusively within Schoolbox.
  3. Anyone on the Internet
    Use this option to share photos with your broader community (e.g., grandparents, alumni, or others without a Schoolbox account). You can share via a link, embed code, or QR code, all available under the "Sharing" section in the event settings. You can also add a password for extra security, which users must enter to access the event.
