When a student creates a Learning Moment - a reflection or a piece of work they want to share - you can review and moderate it after the student submits their Learning Moment for approval. A Learning Moment might be a photo, video, writing sample, or another type of learning evidence submitted for review.
Moderation of a Learning Moment is recommended as it ensures that what students share is appropriate, relevant, and aligns with school expectations before it becomes visible to students and parents.
You moderate Learning Moments in Schoolbox through your class page. As a school staff, you review it and move it through different states, giving feedback or approval where needed. Every Learning Moment being moderated goes through the following states:
- Requires Approval
- Requires Update (optional)
- Published
Moderate a Learning Moment
To review and approve a Learning Moment:
- Access your class page in Schoolbox. For this, add /learning/classes at the end of your homepage URL. Select Enter for your Class page to display.

In the top menu, select Classes

This displays your Class page.
- Next, choose the class where the Learning Moment was submitted.
This opens the class page for you.
- From the Learning Moments component on your class page, select View Cohort Learning Moments.
Note: You can also select Cohort Learning Moments from the 3-dot menu icon
of the Classes or Groups homepage.
This opens the ‘Cohort Learning Moments’ page for you. You’ll see a list of Learning Moments that students have submitted for moderation, as well as drafts that students have saved for later. Learning Moments ready for moderation will display with a ‘Requiring Approval’ label.
You’ll also find filters to help you manage submissions more efficiently. You can filter by:- Filter by students - enter one or more student names.
- Filter by authors - enter one or more author names.
- Filter by classes and groups - enter one or more classes or groups.
- Start date and End date - Select the date range.
- Filter by tags - Select one or more tags from the list.
- Filter by state - Select the checkbox to choose a state such as Draft, Published, Requiring approval, or Requiring update.
When done, select Apply Filters for the results to display.
- Next, open the Learning Moment to review it.
After reviewing the content, select the 3-dot menu icon
.
You can:
- Select Approve to finalise the Learning Moment.
This action confirms the Learning Moment is ready to be shared. Once approved, the ‘draft’ or ‘requiring update’ label will disappear and the Learning Moment will become visible to students and parents.
- If the Learning Moment needs changes, you can send it back to the student for editing. You can select Request Update.
A pop-up window appears.
- In Request update, provide feedback for the student to update the Learning Moment before it is published.
- Select Request update for your comment to be sent to the student.
The label for the Learning Moment changes to ‘Requiring Update’.
- From the 3-dot menu icon
, select Modify to make changes to the Learning Moment. Then, you are able to Save for later, Request update or Approve the Learning Moment.
Note: If you added any feedback comments in Step 8, you’ll see them when you open the Learning Moment to make changes.
- If everything looks good with the Learning Moment, select Publish.
This publishes the Learning Moment to the students and parents.
You’ve now moderated the Learning Moment for the student(s).
Notes:
- Moderation only applies to student-created Learning Moments.
- Learning Moments submitted by staff or parents do not go through the moderation process.
- If the Learning Moment is inappropriate, submitted by mistake, or no longer needed, select Delete from the 3-dot menu icon
. Deleting a Learning Moment is permanent, and it cannot be recovered. Make sure this is the right action before confirming. - If students are about to move up a year level, please make a special effort to approve or delete any pending Learning Moments before the system updates their moderation settings. This helps maintain appropriate oversight and ensures only reviewed content is published.
