Personalise user profiles in the Profile Editor (for Superusers) (v24.1)

Schoolbox offers the Profile Editor, which lets you, as a Superuser, customise the user profiles of students, school staff, and parents. 

You can now edit a user profile to personalise the:

The Profile Editor allows you to decide what information is shown on each profile based on the user's role and role type and is dependent on the SIS. It lets you control what information about the user appears on their profile, making it simple to show relevant details and keep sensitive information secure.

To personalise a user’s profile with the Profile Editor:

  1. In Schoolbox, go to Administration > User Management > Profile Editor.
    This opens the Profile Editor page.
     
  2. In the Profile Editor page, choose the field for the profile role type you want to customise, such as Student, Staff, or Parent.
     
  3. Next, to personalise the user’s display name:
    1. In Name Display Options, you can customise how the user’s name appears on the Profile Editor page.
    2. When done, select Update.
      This saves the display name you’ve personalised for the user’s profile screen on the Profile Editor page.
      Note: This change will not impact the format of a user's name anywhere else in Schoolbox.
       
  4. Next, to personalise the user’s portrait image:
    1. Go to Portrait Image and select the settings cog icon Settings Cog Icon.
      This opens the Profile Editor settings for the portrait image.
       
      1. In Appears On, select one or more campuses. The profile image will display on the profile page for users in the selected campuses.
        For example, if you select Primary and ELC, this user’s portrait image will be visible only for users in these specific campuses.
         
      2. Next, in Visible For, select one or more role types to determine which users can view these user's profile images. 
        For example, if you select Self and Staff, it means these user's portrait images will be visible to themselves, and to other staff members.

        Note: Appears On shows where a field, tab, or button is available, while Visible For specifies who can see it.
         
    2. When done, select Update.
      This saves the settings you’ve personalised for the user profile’s portrait image.
       
  5. Next, to personalise the external or internal fields in the user’s profile:
    1. In Fields, select External Fields or Internal Fields.

      Note: External Fields are fields defined in the SIS (like Synergetic, TASS, etc.), while Internal Fields are defined within the Schoolbox user accounts.
       
    2. To add a field, select one or more fields from the list under 'External Fields' or 'Internal Fields'.
      This will place the selected fields at the top of the list.
      Note: Use the drag handle icon Grab Handle Icon (black grey) to reorder fields.
       
    3. Next, to edit settings for 'Appears On' and 'Visible For', select the settings cog icon Settings Cog Icon.
      This opens the settings for the user profile field.
      1. In Appears On, select one or more campuses. The field will display on the profile page for users in the selected campuses.
        For example, if you select Senior and Junior, this field will be displayed on the profiles of users within this campus. 
        Note: A field will display on a user's profile if the 'Viewee' is in any one of the campuses, or if required, in all of the campuses.
         
      2. Next, in Visible For, select one or more role types to control which role types can view this user's field on the profile page. 
        For example, if you select Student and Parent user roles, it means the field on the student's profile page will be visible only to the student and their parents, and no one else. 

         Note: Appears On shows where a field, tab, or button is available, while Visible For specifies who can see it.
         
      3. Then, in Additional Settings, select the Activate View More checkbox. 
        This field is available for all flags and alerts for your school and helps protect sensitive information in a user’s profile by keeping it hidden until manually revealed. 
        This 'Activate View More' checkbox allows you to have full control over which fields are hidden by default. While 'Medical' and 'Legal' alerts remain hidden, you can apply the same behaviour to any field that you consider sensitive for your school. 
        Note: The content stays hidden until the user decides to view it. It shows up as a ‘View more’ link in the user’s profile, and clicking the link reveals the note.
         
    4. To remove an external or internal field, select the delete icon Delete Icon for the field you want to delete.
      This removes the field for the user profile.
       
    5. When done, select Update.
      This saves the settings you’ve personalised for any external or internal fields in the user’s profile.

Note: Use the drag handle icon Grab Handle Icon (black grey) to reorder fields for each role type's user profile. 

You’ve now successfully personalised a user’s profile with the Profile Editor for your school.
 

On the Profile Editor page, you can further customise Buttons and Tabs. To do this, scroll to:

  • Buttons, you will see a list of the current buttons set up for this role type. You can further:
  • Tabs, you will see a list of available tabs in the Profile Editor. You can further:
    • Reorder - Use the drag handle iconGrab Handle Icon (blue)to reorder the Tabs in your preferred order for how tabs will display for each role type.
    • Edit the settings for 'Appears On' and 'Visible For' - select the settings cog icon Settings Cog Icon. When done, select Update.

Customise Profile Buttons (for Superusers) (v24.1)

Schoolbox creates Profile Buttons for each role type (for students, staff, and parents) according to your Schoolbox plan. The Profile Buttons appear on the user's profile screens for modules like Calendar, Timetable, and Due Work. 

Profile Buttons are of two types: 'system' and 'custom' profile buttons. 'System profile buttons' are pre-made by Schoolbox for your school. 

You can, as a Superuser:

  • create and manage the 'custom profile buttons' for your school, 
  • set the new Profile Buttons to appear on and be visible for different campuses and roles.

You can customise Profile Buttons to:

  • Add
  • Edit 
  • Reorder
  • Delete 
     

Add profile button

To add a custom profile button for your school:

  1. In Schoolbox, go to Administration > User Management > Profile Buttons.
    This opens the Profile Buttons page.
     
  2. In the Profile Buttons page, choose the role type—Student, Staff, or Parent—for which you want to add a custom profile button.
     
  3. Next, select the add icon Plus Icon to add a Profile Button.
     
  4. Then, in Button text, enter the text for your button.
     
  5. In Hover description, add a hover description if required.  
     
  6. In CSS Class, add a CSS class to the profile button to be used with your custom skin config.  
     
  7. Next, in Icon, use the drop-down arrow to select an icon.
     
  8. In Destination URL, enter the URL or select Browse to select and upload a file from your folder location. 
    In the URL:   
    • You can use placeholders like [profileId], [profileFirstName], [profileLastName], [profileExternalId], [profileUsername], [profileEmail] in the URL - These will automatically be replaced with the details of the user being viewed.
    • Similarly, you can use [id], [firstName], [lastName], [externalId], [username], [email] to insert details of the user currently viewing the page. 
       
  9. In Destination Target, select using the drop-down menu.
     
  10. In Appears on, use the checkboxes to select the roles and campuses where the button will appear on user profiles.
     
  11. In Visible for, use the checkboxes to select the combination of roles and campuses for users who can view the button when it is available on a profile.
     
  12. In Allow self, select the Self checkbox to allow users to see the buttons, fields, and tabs when viewing their own profile. 
     
  13. When done, select Create profile button.
    This adds a custom profile button for your school.

    You’ve now added a custom profile button for your school.
     

Edit profile button

To edit the custom profile buttons for your school:

  1. In Schoolbox, go to Administration > User Management > Profile Buttons.
    This opens the Profile Buttons page.
     
  2. In the Profile Buttons page, choose the role type—Student, Staff, or Parent—for which you want to edit a custom button.
     
  3. Next, select the edit icon Pencil Icon to edit a Profile Button.
     
  4. in Button text, enter the text for your button.
     
  5. In Hover description, add a hover description if required.  
     
  6. In CSS Class, add a CSS class to the profile button to be used with your custom skin config.  
     
  7. Next, in Icon, use the drop-down arrow to select an icon.
     
  8. In Destination Target, select using the drop-down menu.
     
  9. In Appears on, use the checkboxes to select the roles and campuses where the button will appear on user profiles.
     
  10. In Visible for, use the checkboxes to select the combination of roles and campuses for users who can view the button when it is available on a profile.
     
  11. In Allow self, select the Self checkbox to allow users to see the buttons, fields, and tabs when viewing their own profile.
     
  12. When done, select Save.
    This edits a profile button for your school.

    You’ve now edited the custom profile button for your school.

    You can also:
    • use the grab handle iconGrab Handle Icon (blue)to reorder the Profile Buttons in your preferred order for how tabs will display for each role type. 
    • set the Visibility to hide a Profile Button from some users without having to delete it.
    • use the delete icon Bin Icon to delete a custom profile button, but you can’t delete any system profile buttons. 
       

Notes: 

  • The 'system profile buttons' are pre-added and managed by Schoolbox for your school. The Destination URL for a 'system profile button' is fixed and cannot be changed.
  • You can hide 'system profile buttons'. To do this, go to Administration > User Management > Profile Buttons and uncheck all the checkboxes for all 'Appears on' and 'Visible for' options, see steps 9, 10, and 11. The 'system profile button' will no longer show on profile screens because no campus, role availability, or role visibility were selected.
  • By default, the custom student profile buttons are hidden from students.

As a Superuser, you can set up and manage extra exceptions to customise access and permissions for staff, students, and parents, making sure roles and access levels match your school’s requirements.

Getting Started

Before you begin to set up:

  1. Go to Administration > User Management > Profile Editor, and select the relevant roleStaff, Student, or Parent
  2. Then, select the settings cog icon Settings Cog Icon  for the field you want to customise access and permissions for.
  3. In Visible For, select the relevant checkboxSelf, Staff, Student, or Parent.  
    This allows the selected role to view content on a profile.
    For example, when you select the 'Student' and 'Parent' checkboxes for the Staff role, you've granted Staff the permissions to:
    • ‘View Student Profile’ on a Student's profile.
    • ‘View Parent Profile’ on a Parent's profile.
  4. When done, select Update.
    You’ve now allowed the selected role to view content on a profile.
     

Note: Parents can access the profile screens of any user but can only see profile details for their own children.

Add 'Current Location' Field to Student and Staff Profiles (for Superusers)

As a Superuser, you can add the 'Current Location' field to student and staff profiles, making it visible across campuses and roles whenever a timetabled class is in session.

To add the current location field to student and staff profiles:

  1. In Schoolbox, go to Administration > User Management > Profile Editor.
    This opens the Profile Editor page.
     
  2. In the Profile Editor page, choose the user field for the profile role type you want to customise, such as Student or Staff.
    Note: This doesn't apply to the Parent role.
     
  3. Next, in Fields, select External Fields.
    Note: ‘External Fields’ are fields defined in the SIS (like Synergetic, TASS, etc.), while ‘Internal Fields’ are defined within the Schoolbox user accounts.
     
  4. Then, select Current Location.
    This will place this selected external field at the top of the list.
    Note: Use the drag handle iconGrab Handle Icon (blue)to reorder fields.
     
  5. Next, to edit settings for 'Appears On' and 'Visible For', select the settings cog icon Settings Cog Icon.
    This opens the settings for the user profile field.
     
  6. In Appears On, select one or more campuses. The ‘Current Location’ field will then appear on the profile page for users in the selected campuses.
    For example, if you select Senior and Junior, this field will be displayed on the profiles of users within those campuses.
    Note: A field will display on a user's profile if the 'Viewee' is in any one of the campuses, or if required, in all of the campuses.
     
  7. Next, in Visible For, select one or more role types to determine which roles can view the 'Current Location' field on the profile page. 
    For example, if you select Student and Parent user roles, the field on the student's profile page will only be visible to the student and their parents, and no one else.

    Note: Appears On shows where a field, tab, or button is available, while Visible For specifies who can see it.
     
  8. To remove this external field, select the delete icon Delete Icon and select Remove.
    This will remove the ‘Current Location’ field from the user profile.
     
  9. When done, select Update.
    This saves the settings for the ‘Current Location’ field and shows it in the user's profile.

    You’ve now added the current location field to the student and staff profiles.

Depending on the size of your device, this may be located in the top right of your screen, or you may find it in your side menu, by selecting the hamburger menu.

Set up the barcode field on a user profile (as a Superuser)

Schoolbox provides a barcode field in user profiles so schools can use it for scannable library or print cards for school staff and students. The barcode shows a user's external ID.

You can, as a Superuser, set up the barcode field to show up on student and staff profiles.

To do this:.

  1. In Schoolbox, go to Administration > User Management > Profile Editor.
    This opens the Profile Editor page.
     
  2. On the Profile Editor page, select the profile role type, such as Student or Staff, for whom you want to set up the barcode. 
     
  3. Then, go to Fields > Internal Fields.
    Note: Internal fields are defined within the Schoolbox user accounts.
     
  4. Next, select Barcode.
     
  5. Select the settings cog icon Settings Cog Icon for the Barcode field.
    This opens the settings for this field.
     
  6. In Appears On, select one or more campuses. The barcode field will display on the profile page for users in the selected campuses.
    For example, if you select Senior and Junior, the barcode will appear on user profiles within this campus.
     
  7. Next, in Visible For, select one or more role types to control which role types can view this barcode field on the profile page. 
    For example, if you select Student and Staff user roles, the barcode on the student's profile page will only be visible to the student and school staff, and no one else.
     
  8. When done, select Update.
    This saves the settings for the barcode field.
     
  9. Next, use the grab handle icon Grab Handle Icon (black grey) to drag and rearrange the barcode field to your preferred position on the user's profile.
    This lets you flexibly display fields based on each role type.

    You’ve now successfully used the Profile Editor to set up the barcode on a user’s profile for your school.

Accessing Another User's Profile Page

Access via Search

1. Navigate to the Top Menu.

2. Select the Search button.

3. Insert the name of the user in the search bar.

4. Select the name of the student or press 'Enter' to view a list.

1. Navigate to your Class Page.

2. Select the 3-dot menu and select 'Class List'.

3. Select the name of the student whose profile page you wish to view.

Accessing a Student's Activity Feed

The Activity Feed is the first tab that is visible when landing on the Student's Profile Page. The Activity Feed will display all of the recent activities pertaining to the Student.

Access a Student's Contact Information

Profile Pages contain information about the user and quick links selected by the school. Profile information can include email, Student ID, Date of Birth, Year Level, Tutor, Year Level Coordinator, House, Tutor Group, Head of House and Class. The information displayed is personalised per role type.

Profile Buttons provide quick links to further information or action including the users ePortfolio, Timetable, Email Parents and Email All Teachers. These are selected by the school and personalised per role type.

Access the school's Staff Directory

Before a school staff can access the school's Staff Directory:

  1. First, as a Superuser, go to Administration > System Settings > External DB and toggle Enable Staff Directory to 'ON'. Select Save for the changes to take effect.
     
  2. Next, as a Superuser, go to Administration > User Management > Lists - Roles and for the 'role type' select the Modify iconPencil Iconand then select View Staff Directory. When done, select Save Permissions. This allows school staff to have access to the school's Staff Directory. 

For a school staff to access the school's Staff Directory (full Staff list):

  1. On your Schoolbox homepage, to access the Staff Directory page:
    • From your side menu, go to Staff Services Staff Directory 
      or,
    • Add /modules/report/staff to your URL  

      The Staff Directory page appears:

Find a school staff from the Staff Directory

Introduction

Schoolbox lets you search for staff from the entire Staff Directory of your school. You can search for a staff member by name, department, role, or campus.  

Find Staff

To find a staff in your school:

  1.  On your Schoolbox homepage, to access the Staff Directory page:
    • Go to Staff Services > Staff Directory
      or,
    • Add /modules/report/staff to your URL

      The Staff Directory page appears.
       
  2. In Filter, search a staff member by their:
    • First name
    • Surname
    • Department
    • Role
    • Campus
    • Work Phone
    • Extension number
    • Email

      The staff details display.  
      NoteThe fields listed will vary depending on your school’s staff profile settings.
