LMS Policy

Overview - LMS Policy

Are you sure you want to remove this component?

The LMS Policy settings are global configurations that impact on how the LMS is used by students, staff and parents. Settings are essential to review before you allow your users to access you LMS content.

NOTE: A Year Level permission controls class pages which have a year level attached. They provide the same permissions for all users who have learning activities on the class page regardless of their individual year level (e.g. a Year 9 student in a Year 12 class will have the same permissions as their Year 12 peers for that class).

Configuration OptionConfiguration TypeTooltipImplications
Course Folder LocationText FieldSelect the top level course folder where new courses will be created. When creating new courses via the Course List (/course/list), the Course Folder Location will specify the folder and it's sub-folders that the course can be placed in.  It is unlikely that this will need to be changed unless the resource browser is being completely restructured.
Enable Curriculum Code TaggingToggleIf toggled to 'ON', curriculum codes can be applied to folders, pages, due work and quizzes for the purpose of curriculum mapping. If toggled to 'ON', curriculum tagging will allow any Superuser or user with a Curriculum service permissions to access the Manage Curriculum page (/curriculum) and add and modify curricula. New fields will be available when creating/modifying folders/pages, learning activities, rubrics, badges, and learning moments.
Enable destructive course activity exportToggleIf toggled to 'ON' projects, tasks, due work, and quizzes will be exported to a class page and will overwrite/delete any pre-existing content. If toggled to 'ON', staff will be able to repeatedly export the same learning activity from a unit of work to class pages, writing over existing content for that learning activity (including any submitted work and feedback/grading). The advantage of this is that it allows staff to rectify mistakes in learning activities across multiple classes, but can also lead to lost work if staff are not aware of the 'destructive' nature of this setting.
Allow Involved Students To Access Pages Via Class Code PermissionsToggleIf toggled to 'ON' pages that contain a Schoolbox Subject Code will allow read access to associated students, regardless of the access permissions configured for that page.If toggled to 'ON', students will be able to access their class page from My Classes, their Timetable, Calendar links, and their profile page. By having this on, folder permissions should be set to None for student roles so that only timetabled students have access to each class page.

If toggled to 'OFF', students will see their timetabled classes but not have access to class pages. This may be useful between academic periods to prevent students accessing the page before the school intends them to. As a global setting, this may be undesirable for allowing Headstart classes to continue accessing their class pages.
Show Points on RubricsToggleIf toggled to 'ON', rubrics will display the number of points associated and attained for each level of capability.Schools may use points on a rubric to assist them with grading and monitoring progress. It may not be appropriate for students and parents to be aware of the points that are awarded.

Toggling this to 'OFF' will remove the points from a rubric when a student or parent is viewing grades/feedback, but will still be able to see which level they attained for each indicator. This acts as a default for pages without a Year Level associated or pages which have multiple Year Levels associated, and the Year Level permissions are conflicting. This setting can be controlled under Administration > User Management > Lists - Year Levels for a more granular approach.

NOTE: Where self-assessment is applied, a student will see points on the rubric.
Maximum Number of Rubric LevelsText FieldInsert the maximum number of levels available to use on rubrics across the whole instance. Ensure this is at least the number of the levels used in the largest 'result set' in the Rubrics section of the administration area. This setting will allow a school to enforce a limit on the number of levels on a rubric so that staff cannot create rubrics that are more granular than desired.
Enable Assessment CalendarToggleIf toggled to 'ON', the Assessment Calendar can be viewed by all users in the staff role type, using the 3-dot menu on the Calendar page.If toggled to 'ON', the Assessment Calendar allows staff to gain an understanding of which learning activities and events are happening within the school. This can be filtered to allow staff to check for clashes, student workloads, and appropriate assessment dates are being utilised.
Student Authenticity Declaration TermsText FieldInsert text that will be utilised to create a student declaration popup when a student submits work. When text is entered into this field, users will have to confirm they have read and agree with the Authenticity Declaration Terms when submitting work in Schoolbox. If left blank, there will be no Authenticity Declaration when submissions are made.

NOTE: This is a global setting and will affect every submission.
Submission Window Wait TimeText FieldInsert the length of time (in seconds) that users must wait to create new submissions to Due Work items. This setting will enforce an amount of time between students being able to create new submissions, ensuring the file has a chance to upload and the submission can be committed to the database.
Resubmission WindowText FieldThe extension duration from the time a resubmission is requested, during which a student is allowed to resubmit. A custom participation plan is created if necessary, so that students can still submit their work even though an assessment may have closed. This setting should be set based upon a school's/education authority's resubmission policy so that they are not given more time to complete their resubmission than is generally allocated. It will also prevent students who are required to resubmit from losing access to closed Due Work on pages.
Default Time Activities are DueText FieldThe entered time will be used as the default due time when creating new activities. If left blank, 11:59pm will be used insteadThis setting allows schools to set their preferred time that activities should be due. When creating, importing or modifying learning activities on Class pages, the staff member may specify a time that difers from the default.
Enable Self Reflection and Self AssessmentToggleIf toggled to 'ON', due work can be configured to include a student self-assessment and/or self-reflection.If toggled to 'ON', it will allow staff to create Due Work items that can prompt students to provide a reflection (using a simple text editor) and grade themselves against the rubric when creating a submission. These will be visible to staff within the students' submissions.
Enable Custom Assessment ParticipationToggleIf toggled to 'ON', assessments can include participation and learning plans, allowing for differentiation of learning and assessments. If toggled to 'ON', staff members can modify learning activities for students. This may be useful for differentiation, assessment extensions and exemptions, and individual learning plans (ILP's).
Hide Due Work from ParentsToggleIf toggled to 'ON', parents will be prevented from being able to access the Due work calendar via the My Students Component. They will also not receive notifications about due work.If toggled to 'ON', parents will lose access to the Due Work Calendar that provides them with a calendared overview of their student's workload. A school may find this setting beneficial when first adopting the LMS functionality of Schoolbox by limiting parent visibility.
Hide Lesson Plans from ParentsToggleIf toggled to 'ON', parents will be prevented from being able to view Lesson Plans on a students calendar. If toggled to 'ON', parents will lose access to the Lesson plans on their children's calendar. A school may find this setting useful when a Schoolbox Admin or Head of Teaching and Learning needs to control whether lesson plans are visible to parents and students, allowing them to restrict access according to the teaching and learning policy.
Hide Work Details from ParentsToggleIf toggled to 'ON', parents will be prevented from 'Viewing More Details' of due work, restricting their view to the title, due date and description. After the assessment is published, only the mark and feedback can be visible through the student's grades page.If toggled to 'ON', additional details such as the task description, the rubric, similarity reports (if enabled), and submission history will not be accessible to parents. The title, due date, work type, feedback, and grade for a student will be displayed on the Grades page after publication. A school may find this setting beneficial when first adopting the LMS functionality of Schoolbox by limiting parent visibility or if the school has a reporting policy that requires this information to be published in a summative manner only.
Restrict Visibility of Graded Due WorkDrop-down menuSelect the maximum visibility of grades and feedback across the whole LMS. This will not be reflected in grades and feedback that have previously been published. This setting restricts the level of visibility staff are able to apply, on feedback and grades of learning activities, for parents and students. A school may find this setting beneficial when first adopting the LMS functionality of Schoolbox by limiting parent visibility or if the school has a reporting policy that requires this information to be published in a summative manner only.
Default Visibility of Graded Due WorkDrop-down menuSelect the default visibility of grades and feedback on due work and quizzes. This setting respects the "Default Visibility of Graded Due Work" setting. This setting allows a school to default the level of visibility on Due Work, up to the highest level of visibility set using the previous setting. A school may find this setting beneficial when first adopting the LMS functionality of Schoolbox by limiting parent visibility or when they require staff to make a conscious decision to allow parental visibility over learning activities.
Display Similarity Check Result to Students and ParentsToggleIf toggled to 'ON', students and parents will be able to view the Similarity Check percentage on due work submissions. If toggled to 'ON', parents and students will have access to the result of a Turnitin report for Due Work. It requires the Due Work to have been configured to produce a similarity report for submitted work. A school may find this useful to provide transparency around the school's approach to academic misconduct.
Allow Students and Parents to access the Similarity Check report.ToggleIf toggled to 'ON', students and parents will be able to view the Similarity Check report. If toggled to 'ON', parents and students will have access to the similarity report document alongside the result of the report. A school may find this useful to provide a second level of transparency around the school's approach to academic misconduct.

If a student hasn't participated in any weighted assessments for a particular class, they will not receive an Overall Grade.
Display Student Overall GradeDrop-down menuControls the default method for displaying the students overall grade on the grade report. This value may be overridden by the year level configuration. This setting controls whether the Overall Grade is presented as a percentage or as a caption from a Grade Group. If a Grade Group is selected, it is important that the lower bounds of the chosen group are configured appropriately as the student's Overall Grade will be displayed as the lower of the two lower bounds it falls between.
Display Student RankToggleIf toggled to 'ON', the class and course markbook will display a student's rank in comparison to the peers of their class or course. If toggled to 'ON', staff users will be able to access student rankings in markbooks.
