Resource Booking

The Resource Booking Module allows a school to centrally manage all of their rooms and additional resources. Integrated into the Schoolbox calendar, the Resource Booking module utilises school timetable bookings and room code data from your SIS (Student Information System). It allows users to view the availability of rooms within the school and book them if needed. Furthermore, additional categories can be added to the system to allow schools central management of any other resources that they may wish to make available to their staff. (e.g. Audio-Visual or Sports equipment) . The Resource Booking module allows a user to moderate resources. On this page you will find the following information:

Resource Booking can be accessed in various ways and will depend on your school, however the most common location is in the side menu.

1. Navigate to your side menu.

2. Select 'Staff Services'.

Create Categories for Resource Booking

Categories are used to group and organise resources. Categories appear as tabs at the top of the Resources module.

1. Navigate to the Resources Page. This may be available in your top or side menu, or you access the page using the URL '/resource-booking/item'. 

2. Select the 3-dot Menu and 'Add Category'.

3. Add the title to your new category.

4. Select ' Create'.

1. Navigate to the Resources Page. This may be available in your top or side menu, or you access the page using the URL '/resource-booking/item'. 

2. Select the 3-dot menu and then select 'Add Resource'.

3. Add a name for the resource.

4. Add a description if required.

5. Add a 'Room Code' if required.

6. Use the drop down arrow to select the category the resource will be associated with. Selecting the correct category is important, as categories are used to filter and organise all resources.

7, Add related resources if required. When booking a resource, users can also book any related resources at the same time. For example, if the resource was the School Hall, related resources may include AV Equipment and Chairs.

8. Add an image if required. This provides useful visual prompts to users booking the resources, ensuring they are booking the correct resource, space or item.

9. Select the level of moderation. 

  • Open: All staff can book the resource, and the booking is automatically approved.
  • Managed: Only moderators can book the resource.
  • Moderated: All staff can request to book the resource. Booking then needs to be approved by a moderator.

10. If you selected 'Managed' or 'Moderated', use the search to find the names of staff who will moderate the resource.

11. Add the 'Minimum Lead Time', 'Minimum Reservation Time' and the 'Maximum Reservation Time'.

  • Minimum Lead Time - If this is set, somebody reserving this time must give this period of notice before their reservation.
  • Minimum Reservation Time - If this is set, this item must be reserved for at least this period of time. 
  • Maximum Reservation Time - If this is set, this item must be reserved for longer than this period of time.

12. Toggle 'Restrict bookings to current term', if required.

13. Select 'Create'.

Modify a Resource Category

2. Select the 'pen' icon.

3. Modify the resource category as required.

4. Select 'Update'.

2. Select the 'pen' icon next to the resource you wish to modify.

Alternatively, you can modify the resource by selecting the 'pen' icon from the calendar view page.

3. Modify the resource as required.

4. Select 'Update'.

Bulk Uploading of Resources

This is a manual process performed by staff at Schoolbox.

To allow us to bulk load the resources, can you please provide the following for each resource using the CSV format found on this file. Please keep in mind in order for the CSV upload to work the headers within the CSV must remain as they are for the columns to be picked up correctly.

  • Name 
  • Room Codes
  • Description
  • Category
  • ManagedBy_SynergeticID -  This works for all Student Management Systems
  • Moderation Type (Open, Moderated, Managed)

Schoolbox will then load in the categories and resources based on this data.

Once these are loaded in, you will still need to manually:

  • Attach images where required
  • Set up inter-resource relationships (related resources)
  • Set the Allowed Roles
  • Lead Time 
  • Minimum Reservation Time 
  • Maximum Reservation Time

Use Resource Booking

1. Navigate to the Resource Booking page. 

This may be available in your top or side menu, or you can add /resource-booking/item to the end of the URL from your dashboard.

2. Use the Resource Category tabs at the top of the window to filter resources.

3. To view the resource, its details and current bookings, select the title of the resource you want to book. Alternatively, select the '+' icon to navigate directly to the booking page for the resource.

4. View the resource details, including any set rules and resource moderators.

5. Start your booking by selecting a date and time on the calendar and select "Create Booking".

6. Complete the 'Overview' section of the booking form. 

This includes the purpose, start date and time, and finish date and time.

7. Confirm the date and time of the booking by selecting "Select Date" and adjusting the times.

8. Select the recurrence of the booking.

9. Add notes to the booking, if required.

10. Select related resources and add details, if required.

11. Select 'Book Resource'.

View a Booking Report

2. Select the 3-dot menu and then select 'Booking Report'.

3. Select the dates and categories for the report.

NOTE: You can filter the resource calendar for up to a maximum period of 3 months.

4. Select 'Search'.

The results will display below the 'Search' button.

Review, Update or Cancel a Resource Booking

2. Select the 3-dot menu and then select 'Booking Report'.

3. Select the dates and categories for the report.

4. Select 'Search'. The results will display below the 'Search' button.

5. Select the title of the resource booking you wish to view.

6. The Resource Booking Moderator can then modify or delete the booking that has been made. If the resource requires moderation, the Resource Booking Moderator will also have the option to approve or reject it.
