When added to a homepage, the Files component will allow you to list files that have been uploaded onto the page. Schoolbox can accommodate a large variety of allowed file types 'out of the box'. The list of 'Allowed Files' is available in the Administration area. If the file you wish to upload is not accepted, additional file types can be added to the ‘allowed files’ list by a Superuser, via the Administration area.

1. To add the component to your page, select the '+' button at the top of your page.

2. Select the 'Resources' tab.

3. Drag and drop the Files component to the desired location.

Adding an Individual File

1. To add an individual file, select 'Upload File', if there are no files, or 'Select a file', if there are already files displaying in the component.

2. Give the file a title.

3. Select a file, or drag and drop to attach.

4. Add a description if required.

5. Choose if you want the file 'Visible' or 'Hidden'.  

NOTE: A file that is 'Hidden' will only be visible to users with 'Write' access.

6. Select 'Post File'.

NOTE: You can also add an individual file by dragging it onto the component. The file will retain the name that it is called in its original location and default to being visible to all users.

 

Adding Multiple Files

1. To add multiple files, drag and drop them onto the component.

Using Alternative Source Linking to Display Different Files in the Files Components

If there are already files attached to the page, they will automatically appear in a Files component. Adding an additional Files component will also display the same files, unless you select a different 'Source' folder. 

1. Unlock your page.

2. Select the settings cog in the component header.

3. Select 'Browse'.

3. Navigate to the location of the folder which contains the files you would like to display. 

4. Select 'Use this Folder'.

Searching and Filtering Within the Files Component

It is possible to view all files within a component, to search within this list and to apply filters to assist your search. 

You can also select multiple files to be hidden from those with read access, or to be deleted entirely.

1. To access the list of files, select ‘All Files’, within the component.

2. Use the search function to search for specific files, or use the checkboxes to filter by file type.

From here you can perform several actions:

To hide a file from those with Read Access to the page, select the eye icon.

Once selected, the icon will display a strikethrough, indicating that the file has been hidden. To unhide a file, select the eye icon with a strikethrough and it will then display the file to users with ‘Read’ access.

To modify a file, select the pen icon.

From the Modify File screen, you can rename the file, download the file, delete or change the visibility for Read Access users.

To bulk delete files, select the files using the checkboxes next to the file names and select ‘Delete’.

Files Component Settings

1. To view and change the settings in the Files component, you first need to unlock your page.

2. Select the Settings cog.

The files component settings allow you to:

  • Collapse the content of your component.
  • Select Compact Mode. This will hide details about who uploaded the file and when it was uploaded. 
  • Change the heading of the component.
  • Filter the types of files you want visible in the component. 
  • Limit the number of files displayed. "All" will display all files, while any specified number will limit the display to that number of files.
  • Sort the files by date or name.
  • Sort the order of the files by ascending or descending.
  • Select an alternative source for your files component.

Removing the Files component

Are you sure you want to remove this component?

To remove the component from your homepage, unlock your page, and select the 'X' at the top-right of the component header.

NOTE: Removing the component will not remove the content of the files component. If you re-add the files component later, all files will still be visible. To delete a file, navigate to the Resource Browser, select your file and then select 'Delete'.
